This privacy policy sets out how Girton Tennis Club uses and protects any information that you give us.

Girton Tennis Club is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then it will only be used in accordance with this privacy statement and the current Data Protection Act

What we collect

We may collect the following information:
Name, Address & Postcode, Email address and telephone numbers.
Your gender & the gender and age of junior members.

How do we collect it

All members have to provide the information on a Membership Application Form, this is usually on paper but the form may be submitted by Email.  Our website is a ‘read only’ service and does not collect or store any personal information

What do we do with it

Your details are transferred onto a spreadsheet which is used for the purpose of administering Girton Tennis Club. The spreadsheet is held by the Membership Secretary who may make part or all of it available to other committee members, for instance the Treasurer for reconciliation purposes or those organising coaching sessions and other events.

When communicating with multiple members we will endeavour to address you as a Blind Carbon Copy in order to avoid other members knowing your personal details.

At the beginning of each membership year all membership forms for the previous year are shredded or deleted by the Membership Secretary, the spreadsheet is kept for five years in order to perform historical analysis.

Controlling your personal information

You may choose to restrict the collection or use of your personal information, this may mean that you will be unable to join Girton Tennis Club.

We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so. We do not use your personal information to send you promotional or marketing information about third parties. We may send you information from the Lawn Tennis Association that we think may interest you.

You may request details of personal information which we hold about you under the current Data Protection Act. If you would like a copy of the information held on you please contact the Membership Secretary.

If you believe that any information we are holding on you is incorrect or incomplete, please write to the Membership Secretary via email. We will promptly correct any information found to be incorrect.

Usage of the website

We do not collect, store or keep any information about visitors to our website. When you book a court, the booking details are kept for the purpose of the booking system. The contact details you provide are recorded for booking management and to comply with Track and Trace. All booking data is deleted once these requirements expire and at the end of the membership year.

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement.
